Can an AI agent answer my company's phone?

What it does, and what it never does

A well-framed voice agent does four things: it welcomes callers while stating that it is an AI, it understands the purpose of the call with a few questions, it takes a complete message or offers a slot in the calendar, and it transfers to a person when the caller asks or when the situation requires it: an emergency, an important client, a complaint.

It never gives advice or a professional opinion. It neither confirms nor denies the status of a case or an order. It makes no commitment on behalf of the company, neither on a price nor on a deadline. Its role is that of a reception desk that misses no call, not that of a member of staff.

Every call produces a written summary, sent to the team or filed in your tool, with the reason, the contact details, the estimated urgency and the expected action. That summary is often what changes daily life: no more sticky notes, no more forgotten callbacks.

The rules to respect

Transparency first: the caller must know they are talking to an AI, from the first seconds, and be able to ask for a person. It is a requirement of the EU AI Act for systems that interact with people, and a matter of trust.

Data protection next: exchanges are hosted in Europe, segregated per company, kept as long as necessary and no longer, with a log of who accessed what. No call content is used to train a model. For a firm or a practitioner bound by professional secrecy, these rules are written into the contract.

Supervision finally: a person reviews the summaries, corrects the scripts, and the agent is reviewed every month. A voice agent is not installed once and for all; it is a digital colleague that you train and monitor.

Set-up starts from your real calls: the most frequent reasons, the questions to ask, what must trigger a transfer. Scripts are written with you, tested on simulated calls, then the agent first takes calls outside opening hours before widening. Count a few weeks.
