What a human does better, and will for a long time
A person on the phone hears what is not said: the worry behind an innocent question, the irritation rising, the important client who does not introduce themselves as such. They adapt their tone, they reassure, they make a decision on the spot when needed, and they commit the company knowingly.
They also know the history: the case in progress, last week's appointment, the partner who follows this client. An agent only has that memory of the relationship if it is given to it, case by case, and it never interprets it with the finesse of someone who has worked in the team for years.
A voice agent does none of that, and we would rather say so before selling anything. On sensitive calls, a complaint, a dispute, a person in distress, a question that calls for professional advice, a person must pick up, or be reachable within seconds.
What an agent does better
The agent does not do better; it does it every time. It picks up during the appointment, on site, at noon and at eight in the evening, on Saturday, during the holidays. It puts nobody on hold, it does not get irritated by the fifteenth identical call, and it asks the same questions in the same order every time.
Above all, it produces a written summary of every call, sent to the team or filed in your tool: the reason, the contact details, the estimated urgency, the expected action. No more sticky notes, no more forgotten callbacks. For many companies, that summary is what changes daily life, more than the pick-up itself.
Finally, it does what a human switchboard has no time to do for every call: check the calendar and offer a slot, confirm by email or text message, and transfer to the right person according to written rules, an emergency, an important client, a complaint.
The limits of AI, without hiding them
A voice agent copes badly with a noisy environment, a strong accent or a request made of three ideas at once. It says so, offers to rephrase or transfers; but if your calls are few and all different, it brings nothing, and a good answering service will serve you better.
It never gives advice or a professional opinion, does not confirm the status of a case, commits to neither a price nor a deadline. It must state that it is an AI from the first seconds and let the caller ask for a person at any time: that is a requirement of the EU AI Act, and a matter of trust.
Finally, it needs supervision: a person reviews the summaries, corrects the scripts, and the agent is reviewed every month. Exchanges are hosted in Europe, segregated per company, kept only as long as necessary and never used to train a model. An agent installed and then forgotten drifts; a supervised agent improves.
What each option costs, and how it is set up
A human assistant is paid in salary, in cover during absences and in training time; an outsourced answering service is paid per call or as a flat fee. You know those costs; they are not on this site because they depend on your organisation, and we do not invent them to tip the comparison.
The agent is paid as a project, then as a subscription. The Standard AI Agent at €4,000 excl. Set-up starts from your real calls: the most frequent reasons, the questions to ask, what must trigger a transfer. Scripts are written with you, tested on simulated calls, then the agent first takes calls outside opening hours before widening. Allow a few weeks, and one month of use to know whether it is worth its subscription.
The combination that works in most cases
A person during opening hours, on the calls that call for judgement; the agent outside opening hours, as overflow when the line is busy, and on the repetitive reasons you have chosen to entrust to it. Every call the agent takes comes back to the team as a summary, and every call outside the frame is transferred.
Measure simply: calls answered, complete messages, appointments booked, without a member of staff leaving what they are doing. And measure what the human assistant does better with the time freed: the substantive calls, the relationship, the follow-up of cases. An agent that has taken over reception gives the assistant back the work that justifies the role.
